With the privacy policy we inform you how we handle personal data in accordance with Article 13 and 14 of the General Data Protection Regulation (GDPR).

Data Processing

Which data is processed depends on which of our services you use. Therefore, we divide information about this into different sections.

With our IT service providers for our infrastructure website/email we have (as far as necessary) concluded order processing contracts in accordance with Article 28 EU-GDPR. Our IT service provider for these websites and email is located in the EU. A transfer of personal data to third countries or international organizations via our IT infrastructure does not take place.

Disclosure to third parties does not take place via our IT infrastructure (website/email).

Our website system is protected by strong passwords. We and our IT service provider perform regular updates. Where necessary and possible, backup and deletion routines are implemented for our IT infrastructure (website/email).

When you visit our website, some data is collected as your computer and browser communicate with the server on which this website is located.

Technical Data

This is technical data that can be personal. These are:

This information is collected during this connection and may be personally identifiable. This data is used to enable the exchange of information between your computer and our website. This means that we process personal data because of a legitimate interest (legal basis is Article 6(1)(f) EU-GDPR). We use information about browser, operating system and language to provide you with the website correctly and in a readable format. Through the information about your browser and operating system language settings, the website language is set directly, so you do not have to change the language yourself. Also in this case, we process this data to provide you with our website in a meaningful way.

Important to know: However, we do not store this data. In case we have to stop logging on the server side (e.g. suspected cyber attacks or misuse of the website), the stored data will be deleted by our hoster after seven (7) days.

Cookies

Cookies are text files that are often created on your computer when you visit a website. These cookie text files contain information that the website writes into this text file and reads out again. This makes it possible, for example, to collect some information that might otherwise be lost during your visit to a website (e.g. data entered, other settings).

For some functions of a website, cookies are even mandatory, e.g. for the application form on our website, cookies are required so that the form works and we can accept data entered by you. When you visit our website, you will be greeted with an info box that tells you that we use cookies. This is already the first cookie, which means that you will only see this information once, when you have taken note of it.

You have certainly heard of cookies that are used for marketing purposes and personalized advertising and are stored on your computer for a long time, so that you are continuously presented with personalized advertising. Cookies can also be used in this way, but we do not do so on this website.

All the cookies we use here are session cookies, which means that they become invalid after closing the browser (ending a session). Below we list the cookies we use and why we (or the software with which this website works) use them:

Email Communication

We can be contacted by email and by post at the addresses given on the website. The data you provide when contacting us (including e-mail address, first and last name, date and time and text of the message) will be processed and stored by us in order to properly process your request. As soon as this data is no longer required for processing the contact, it will be deleted by us after two (2) years. The legal basis for this processing is Article 6(1)(b) EU-GDPR.

This does not apply if there are legal storage obligations for us; in this case, the data will only be deleted after the legally prescribed storage period has expired.

We also offer encrypted e-mail communication (PGP/GPG) for special data security. You can find our public key here. Please keep in mind that sending sensitive data via e-mail without encryption is not secure.

Important to know: Even with encryption, at least the e-mail address and the subject will be transmitted unencrypted and thus transmitted. The same applies, by the way, to telephone communication, for example.

If you communicate with us encrypted we have to process your public PGP/GPG key to be able to answer you encrypted. We do this only with your consent pursuant to Article 6(1)(a) EU-GDPR. This means that we will reply to you once unencrypted to offer you this possibility of consent. Such consent is voluntary and can be revoked at any time.

Social Media Accounts

Many internet users use social media. We also want to introduce and present our association on various social media platforms and have therefore decided to use currently active profiles/accounts on Twitter, Instagram and LinkedIn. Social media platforms are purely external offers provided by the respective providers. We could partially act and interact on these platforms. For example, we can upload content and exchange messages with you.

However, it is the provider of the platform itself that largely decides and applies its own policies, including how your personal data is handled. It is unfortunate that we do not have much influence on this. Nevertheless, we have decided to be active on classic social media, since such an interaction also serves the purpose of the association. Here we have to fall back on social media platforms, which are considered a common standard.

If you communicate with us via social media and write a private direct message (often called direct message or DM), we treat it as far as possible as email communication and process your data with the legal ground Article 6(1)(b). EU-GDPR or depending on the character legal ground Article 6(1)(f). EU-GDPR. We also adhere to the deletion periods set by us, but we cannot guarantee that a deletion triggered by us will result in a real deletion at the provider. We would also like to point out that messages that you send us via social media cannot be considered encrypted.

Now follows the section of the privacy policy which deals with our accounts on social media platforms. Due to the complexity described above, this section has a more technical character.

Your Rights

According to Article 15 of the GDPR, every data subject (i.e. you) has the right to know whether and, if so, which personal data about him/her is being processed and in what way. As stated in Article 15 of the GDPR, this right extends to comprehensive information about which and how personal data is processed by the controller; this information then also informs you about what rights you have. Such information can be requested free of charge from the Executive Board at board@legalfuture.org (please encrypt your request via GPG/PGP, for information on this see above under "Email communication").

According to Article 16 EU-GDPR, every data subject (i.e. you) has the right to correct his or her personal data. Please feel free to contact us for this purpose.

According to Article 17 EU-GDPR, every data subject has the right to erasure, in particular if the purpose of the data processing ceases to exist or any consent for the future is revoked. The deletion can be denied if something stands in the way of this (e.g. retention periods, technical or factual impossibility). Please feel free to contact us for this.

According to Article 18 EU-GDPR, every data subject has the right to restriction of processing if the conditions for this are met. Please feel free to contact us for this purpose.

We do not disclose any personal data to third parties constituted as an organization as part of this data processing, so Article 19 EU-GDPR does not affect the data processing described here. Something else may apply to the processing on the social media platforms used by us. See above and the privacy statements of the respective providers.

According to Article 20 of the GDPR, every data subject has the right to data portability. Please feel free to contact us for this purpose.

If applicable to this data processing in the future, every data subject has the right to object pursuant to Article 21 EU-GDPR.

Automated decisions in individual cases and profiling will not be carried out within the scope of the data processing described here in accordance with Article 22 EU-GDPR.
